Effectively Navigating Fleet Licensing and Compliance

Whether it is the initial registration of new vehicles, staying ahead of renewals, or adapting to the latest regulations, ensuring your fleet vehicles remain properly licensed requires significant time and expertise. Add to that the cumbersome administrative burden and potential consequences of non-compliance – fines and/or costly downtime – and it is easy to see how a fleet manager can quickly become overwhelmed.

With that in mind, Holman’s Chris Karlak recently spoke with Work Truck to share how fleet operators can effectively navigate fleet compliance. In the series of articles, Chris highlighted the importance of having accurate data, noting that information such as renewal dates and operating addresses provides the foundation for maintaining compliance. He also discussed why it is critical to establish how the renewal process will flow within your organization while also reminding fleet operators that the process will shift and change as your business evolves.

“It’s not just a one-and-done. It’s constantly evolving, and you need ongoing support. Now you have new regulatory aspects to adapt to, and I think that’s where a strategic fleet management partnership can be extremely beneficial.”

Later in the article, Chris offered a series of tips to help organizations ensure compliance across their fleet:

  1. Whether done by a fleet manager or fleet management company (FMC), educate stakeholders about regulations and compliance.
  2. Taking a hard look at your current state will help prepare for your future state.
  3. Make sure all the departments are aligned on the roles they play remaining compliant.

Chris also shared a number of resources that fleet operators can leverage to stay informed on the latest regulatory changes. He highlighted websites such as the Department of Transportation and Federal Motor Carrier Safety Administration as well as the appropriate agencies at the state level. However, Chris also cautioned that fleet operators should be realistic about what can (or cannot) be handled by internal resources.

“There are resources where you can educate yourself and keep yourself current to prepare and then make an educated decision to say, ‘Hey, I may not be able to handle this and I’ll need a fleet management partner or outside support to help’.”
