The lack of transparency surrounding rental vehicle damage claims is a significant concern for fleet managers. In fact, over half of rental car drivers suspect they’ve been charged for damage that was already there. This can complicate the rental process and lead to unexpected costs.
However, by adopting a proactive approach and carrying out thorough vehicle checks, you can minimise disputes and maintain cost efficiency.
Read below for how to ensure transparency in every rental transaction, and protect your fleet from unwarranted rental damage charges.
Holman’s Top Tips to Avoid Unwarranted Penalties
When you first receive your rental (Within 2 hours):
- Take time-stamped photos: Capture clear images of the entire vehicle, including:
- Vehicle Dashboard: Show the fuel level, mileage, and any warning lights.
- All Sides of the Vehicle: Photograph the driver side, passenger side, front, and rear.
- Each Tyre: Include the wheels and alloys.
- Any Existing Damage: Document scratches, dents, or other visible issues

Tip: On Android/iPhone, swipe up on a photo and screenshot the properties to show the time and date.
- Record a video walkaround: A video provides extra evidence in case of a dispute.
- Store your evidence: Upload photos to your provider or keep them securely stored on your device. Remember – Damage claims can be filed months after hire, so make sure you keep your photos!
Before returning the vehicle:
- Re-take photos and videos: For further evidence in the event of any disputes.
- Refuel the vehicle: To avoid high fuel surcharges from the rental company.
- Pay tolls and congestion charges: Prevent unnecessary admin fees and penalties.
- Settle parking costs & notify the rental firm: Inform them where the vehicle and keys are located to ensure smooth collection.
Did you know – Rental companies aim to collect vehicles within 8 working hours (or 2 days for HGVs). The branch will keep you informed about your vehicle’s collection – but make sure to plan suitable parking.
